10 Commandments for Digitalizing Your Scattered Workforce

20Sep

The digital transformation has resulted in becoming a double-edged sword leading a challenge for the employers to manage scattered workforce effectively.  Almost all the productivity, communication and learning management systems that we see at workplace have been created for the office workers with a desk. However, a vast majority of workers (80% globally) who perform physical or scattered work daily have been left out from this workplace digitalization revolution.

The ubiquity of smartphones in the pockets of deskless employees such as shop assistants to builders, servicemen to warehouse staff, nurses to waiters is now providing a tremendous opportunity for the organizations to revitalize the way they onboard, train, communicate and build the company culture. We call this group of workers as scattered workforce or deskless workers or non-office workers. The existing systems and tools are not able to properly connect to this scattered workforce, see the illustration below:

10 commandments for digitalizing your scattered workforce for better productivity

  1. Start it from their onboarding. Provide your deskless workers a step-by-step checklist of their onboarding even before they have started with your company. What should they do on the first day? First week? First month?
  2. Create learner-centric digital learning that is bite-size, contextual and super-easy to consume and relate to their job.
  3. Enable the power of collaboration and social both in their communication and learning experiences with their peers and supervisor.
  4. Provide them a familiar user centered design. Deskless employees have more important tasks to perform. They shouldn’t waste their time learning new software to perform their tasks.
  5. A searchable directory of content and people at the company, so that with one search on mobile, can any content and any person be found to help your employees succeed better at their jobs.
  6. Ability to create peer-to-peer support groups or communities for defining theme or location based communication – making both communication and learning context based.
  7. Allow managers and headquarter personnel to send top-down information and get an acknowledgment that the deskless employees have read/watched and understood the information. The top-down communication must be both consistent and meaningful in order to drive better employee engagement.
  8. Use gamification elements to create more engagement among your employees. Gamification elements such as leaderboard, awards and recognitions are proving to be a big hit in deskless workers’ engagement.
  9. Have a unified system and lower the number of different software needed to access separately with the help of integrations. Or provide them software that will remove the need for multiple software. For example, with Sparkwork, your scattered workforce don’t need a separate school-based learning management system (LMS), super-fancy enterprise or consumer communication tools (Slack, Yammer, Microsoft Teams, Facebook, WhatsApp) or too static intranet (SharePoint) tools. Sparkwork combines these into a lightweight, user-friendly, mobile-first software that is highly suited for your scattered workforce.
  10. Amplify the power of questions. Questions and answers are one of the best ways to learn, communicate and reinforce the knowledge into the organizational DNA. Enable your deskless employees to ask questions from their peers, supervisors, and mentors. Or let them answer their colleagues’ questions and hence recognized better. With the help of a field-sourced, self-evolving and meaningful answers and questions, create a powerful knowledge bank that your field workers anytime/anywhere from their mobile device.

We, at Sparkwork, feel that these productivity benefits have been limited the o office or desk-bound workers until recently.
